Position Summary

The City of Bozeman is now accepting applications for a Contracts & Sports Parks Coordinator who will create, execute, and manage contracts and Sports Park User Group Agreements within the Parks Division. In addition, this position will be responsible for the scheduling of field space and communication with various user groups.

Work Week: Typically Monday - Friday, 8:00am - 5:00pm

Examples of Essential Work (Illustrative Only)

  • Writes, evaluates, and executes a variety of contracts, Professional Services Agreements, and User Group Agreements for the Parks and Trails Division;

  • Administers public use of Sports Parks fields including managing field use, prioritization and scheduling negotiating User Group Agreements, and invoicing;

  • Coordinates preparation and maintenance of Sports Parks for use;

  • Maintains correspondence and documentation related to contracts and user agreements;

  • Monitors contracts to ensure compliance and completion, extension, or renewal;

  • Communicates and coordinates with HOA leadership, property management companies, and the general public regarding park and trail maintenance contracts, the transfer of maintenance responsibilities to City of Bozeman Parks and Trails Division, and park enhancement projects within City of Bozeman Parks and Trails;

  • Enforces and recommends updates to policies, including fee schedules;

  • Assists with the implementation of the Department’s Capital Improvement Program;

  • Assists with the construction bidding process including legal notices;

  • Coordinates with developers and their agents to schedule preconstruction meetings and final park completion inspections;

  • Tracks warranties for new development and capital purchases;

  • Reviews maintenance and construction contracts and invoices for accuracy and completeness;

  • Drafts and formats official correspondence including letters, legal notices, and contract documents

  • Researches property ownership, management, and property transfer documents related to new park and trail acquisitions or subdivisions;

  • Organizes construction License Agreements and supporting information such as construction bonds, improvements agreements, and other financial securities related to the construction field;

  • Manages grant agreements and terms including progress reports and long-term compliance;

  • Enters departmental invoices;

  • Monitors revenues and expenditures in assigned area to assure sound fiscal control;

  • Support the fundraising efforts of the Bozeman Sports Park Foundation;

  • Acts as a City Representative and provide communication with the general public about construction contracts and projects of the division including social media and website updates;

  • Responds to citizens’ questions and comments in a courteous and timely manner;

  • Provides needed information and demonstrations concerning how to perform certain work tasks to new employees.

  • Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems.

  • Attends meetings, conferences, workshops, and training sessions and reviews publications and audio-visual materials to become and remain current on principles, practices, and new developments in assigned work areas.

  • Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;

  • Performs other duties consistent with the role and function of the classification.

Minimum Required Qualifications

  • Bachelor’s Degree in Accounting, Business Administration, Parks & Recreation, or a closely related field; and

  • At least 3 years technical contract administration experience; or

  • Any combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work.

Required Knowledge, Skills, and Abilities

  • Demonstrated knowledge of contract management;

  • Some knowledge or ability to quickly learn turfgrass management;

  • Some knowledge of or ability to quickly learn current practices and procedures involved in City service delivery;

  • Some knowledge of or ability to quickly learn the overall functions, duties and responsibilities of assigned Departments/divisions;

  • Some knowledge of or the ability to quickly learn public bid processes;

  • Some knowledge of the ability to quickly learn government accounting;

  • Some knowledge of or ability to quickly learn the function of services within the public sector, preferably within a municipal government;

  • Some knowledge of or ability to quickly learn procurement policies and State or Local equal pay, prevailing wages, and insurance requirements;

  • Ability to gain a comprehensive knowledge of city owned parks: including park location, individual park assets, and Home Owner’s Association (HOA) management status;

  • Knowledge of modern office procedures, practices and equipment;

  • Knowledge of modern office filing systems and procedures;

  • Knowledge of good phone etiquette and practices;

  • Ability to analyze problems, identify alternative solutions, project consequences of proposed actions and implement recommendations accordingly;

  • Ability to deal with a wide range of persons, including situations in which individuals may be upset over some issue involved with City activities and policies;

  • Ability to communicate effectively with others, both orally and in writing, using both technical and non-technical language;

  • Ability to understand and follow oral and/or written policies, procedures, and instructions;

  • Ability to prepare and present accurate and reliable reports containing findings and recommendations;

  • Ability to operate a personal computer using standard or customized software applications appropriate to assigned tasks;

  • Ability to use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions;

  • Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines;

  • Ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology;

  • Ingenuity and inventiveness and the use of the appropriate levels of discretion in the performance of assigned tasks;

Required Special Qualifications

  • Must possess a valid Driver’s License and obtain a Montana Driver’s License within 60 days of employment;

  • Offers for employment are conditional upon a satisfactory response to post conditional offer process.
